Organization Description:
The Moore Public Schools Foundation, established in 1995 by community leaders, is dedicated to enhancing, expanding, and enriching the educational experiences of nearly 25,000 students within Moore Public Schools. Our mission is driven by private donations, grants, and community support to foster academic excellence across the district. The Foundation supports students and teachers through annual grant cycles, fundraising events, and community partnerships.

Position Overview:
The Moore Public Schools Foundation seeks a motivated and organized Development Assistant to support the Foundation’s operations, fundraising efforts, and communications. This part-time role includes administrative and operational assistance for Foundation activities and the Building Bridges Campaign, which focuses on housing unaccompanied high school students. The ideal candidate will bring a passion for serving students, teachers, and other stakeholders across the district.

This position offers a flexible schedule of 20–25 hours per week, which may change on a monthly basis depending on events and organizational needs. The Executive Director will communicate schedule changes in advance.

Reporting Structure:
The Development Assistant reports directly to the Executive Director of the Moore Public Schools Foundation, who reports to the MPSF Board of Directors. This position supports the Executive Director in executing the Foundation’s initiatives and collaborates with board members as needed to advance the organization’s mission.

Key Responsibilities:

Administrative Support:

  • Manage, organize, and maintain Foundation records, donor documents, and office files.

  • Prepare and distribute Foundation communications, including emails, letters, and other documents.

  • Assist with tax documentation preparation, accounts payable/receivable tracking, and overall document organization.

  • Attend monthly Board of Directors meetings, assisting with minutes and follow-up tasks.

  • Compile and analyze data from events and initiatives, reporting on attendance, fundraising outcomes, and donor engagement.

Social Media & Marketing:

  • Assist in the creation, scheduling, and execution of strategic social media and marketing plans.

  • Develop engaging content for platforms, monitor social media insights, and recommend improvements to increase engagement.

  • Coordinate with the Executive Director to ensure alignment with Foundation goals and messaging.

Data Management & CRM:

  • Maintain up-to-date data entry in our Customer Relationship Management software (Givebutter) and QuickBooks.

  • Track donor information, financial transactions, and donor engagement activities.

  • Support donor outreach, engagement tracking, and stewardship initiatives.

  • Handle sensitive data with discretion, ensuring privacy and compliance with confidentiality protocols.

Donation & Gift Management:

  • Support the creation, solicitation, acceptance, follow-up, and stewardship of monetary and in-kind donations.

  • Assist with donor outreach, ensuring prompt follow-up and personalized acknowledgment.

  • Help maintain records of contributions, process donations, and generate receipts for donors.

Event Coordination & Representation:

  • Provide support for Foundation events, including planning, logistics, solicitation, execution, and follow-up.

  • Serve as a Foundation representative at community events, engaging with stakeholders to share the Foundation’s mission.

  • Manage event RSVPs, coordinate check-in/check-out, and assist in organizing volunteer support.

Volunteer Coordination:

  • Assist in recruiting, training, and managing volunteers for Foundation events and initiatives.

  • Maintain a database of volunteers and communicate upcoming opportunities.

Community Engagement:

  • Represent the Foundation at school district events, chamber of commerce events, and other community functions.

  • Build relationships with local businesses, civic groups, and faith-based organizations to expand partnerships and support.

  • Advocate for the Foundation’s mission by creating presentations or materials for stakeholders, such as parents, teachers, and community groups.

  • Build meaningful connections, foster collaboration, and inspire teams to achieve common goals.

Alumni Engagement:

  • Support the creation of an alumni database to foster relationships with former students.

  • Help develop targeted outreach strategies to engage alumni as donors, mentors, or volunteers.

Program Support:

  • Work closely with teachers and school staff to understand program needs and how Foundation resources can best support them.

  • Monitor and report on the outcomes of funded programs to demonstrate impact to donors.

Qualifications:

Education & Experience:

  • High School Diploma required.

  • Preferred 2 years of nonprofit experience as a volunteer, board member, or staff member.

  • Experience with CRM systems (preferably Givebutter) and QuickBooks preferred.

  • Familiarity with social media platforms, content creation, and strategy execution.

Skills & Abilities:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Detail-oriented, with excellent organization and multitasking skills.

  • Strong written and verbal communication skills; persuasive and creative writing ability is a plus.

  • Strong public speaking skills to deliver engaging presentations to diverse audiences.

  • Ability to work well independently and within a team.

  • Passion for public education and a commitment to supporting Moore Public Schools students, teachers, and stakeholders.

  • Professional demeanor when interacting with donors, potential donors, community members, and stakeholders 

  • Strong interpersonal and relationship-building skills to foster collaboration and inspire teams to achieve common goals.

  • Discretion and confidentiality to ensure compliance with privacy protocols.

Additional Requirements:

  • Must be able to lift 25 pounds and manage a combination of sitting, standing, and walking.

  • Flexibility in work schedule, including occasional attendance at evening or weekend events.

Schedule and Compensation:

  • Part-time, 20–25 hours per week.

  • Flexible schedule subject to change on a monthly basis, communicated by the Executive Director based on events and needs.

  • $17–$19 per hour, depending on experience and qualifications.
